IT staff from CAUDIT member institutions are able to access locked/member only resources. CAUDIT members are Australian and New Zealand universities and some pathway and research organisations. You can check if your institution is a member here: https://www.caudit.edu.au/members

Accessing the resources is simple:

From any page, hover your mouse over the Login button at the top of your screen and select either AAF (Australian institutions) or Tuakiri (NZ institutions):

Follow the prompts and enter your institution username and password. Once validated you will be able to open all member only content from all pages including 'hidden content' on procurement pages, presentations and survey reports etc. You only need to login once in your browser session. If your institutions isn't included within the options please contact either AAF or Tuakiri using the links above to clarify your subscription status.

Permission to use the CAUDIT Logo may be granted by the CEO under certain circumstances.

CAUDIT respects the privacy of its members. We do not provide general contact lists to vendors for the purposes of cold-calling members.

Under certain circumstances (for example in association with a sponsored event or webinar) we may provide contact information. This is always done with the informed consent of participants.

Yes you can if you are a member of CAUDIT (CAUDIT Members are universities of Australia and New Zealand, the South Pacific and Papua New Guinea as well as CSIRO, AIMS and DSTO). If you are a member and would like to post a job advert, send an email to caudit@caudit.edu.au with a link to the position details and we will load it up until its closing date.

CAUDIT staff work remotely in various locations across Australia.

The AAF is the Australian Access Federation and Tuakiri is the New Zealand Access Federation. Access to many authentication CAUDIT services rely on the AAF or Tuakiri.

The CAUDIT Benchmarking System is an online system which captures both benchmarking and profile data for member universities. Further information and resources can be found on the CAUDIT Benchmarking System Resources page.

To access the system you must be registered as an Benchmarking Updater - with data access and editing rights - or a Reader - view the data only.

If you are accessing the system for the first time you will need to request access and CAUDIT will process your request. Please note that if you're not known to CAUDIT staff and we are unable to readily verify that you work in IT within a university, we will refer the request to the IT Director/CIO at your institution for authorisation.

There are a number of ways in which members and IT Professional can find out what their peers are doing.

The CAUDIT Benchmarking System has a profile section which details all of the major systems etc that each university is using. This information can assist members and IT Professionals to locate others who are using the same technology to ask a more targetted question.

Search through the previous surveys and see if someone else hasn't previously sought the same information you're looking for.

IT Professionals can through their IT Director/CIO conduct a survey of the CAUDIT memebrship. CAUDIT can can assist with loading your questions onto Survey Monkey through the Events and Collaboration Support Officer.

IT Directors/CIOs can contact their peers and conduct an informal survey via the CAUDIT IT Director/CIO email list. Emails can only be sent this list by current IT Directors/CIOs.

The figures are actually compiled by the Department of Industry, Innovation, Science, Research and Tertiary Education (DIISRTE) with full figures available on the department website: http://www.deewr.gov.au/HigherEducation/Publications/HEStatistics/Publications/Pages/Home.aspx.

Using published data such as Full Time Equivalent (FTE) staff and Effective Full Time Student Load (EFTSL) is common in CAUDIT agreements. These figures can be used to provide a reasonable basis for charges, with a per-FTE and/or per-EFTSL rate being used.

The CAUDIT membership has a total of 6,500 IT Professionals employed.

While we welcome all offers, our focus is based upon member priorities and therefore we can’t engage with every vendor in this way. Any complaints with regards to policy, process or probity should be directed to the Chair of the Strategic Procurement Governance Committee, or in their absence the President of CAUDIT. All complaints need to be made in writing, clearly articulating the complaint, the desired outcome and the impact upon a vendor or member.

It is recommended that vendors contact the Director Strategic Procurement in the first instance as this is a role dedicated to working with vendors on behalf of the membership.

Contact with the CEO, President or Chair of the Strategic Procurement Advisory Committee should be reserved for unusual circumstances.

If you believe that you are not being afforded the appropriate priority, please e-mail the Chair of the Strategic Procurement Advisory Committee. If your concerns related to policy, process or probity, please refer to the complaints section below.

The simplest method of engaging with CAUDIT and its members is via an offer/acceptance process. It is no more complicated than it sounds – a vendor makes an offer, and CAUDIT accepts the offer and makes it available to its members.

The level of documentation required for this process is quite rudimentary; sufficient information needs to be provided so that:

The offer may be understood, without any ambiguity; A simple pricing method is provided; The terms and conditions are clearly stated; and Contact details are provided to members. Please refer to the CAUDIT Procurement Guidelines for additional information.

CAUDIT members spend approximately AU$1.8B per year on Information Technology each year.

More information on this spend is available to members only through the CAUDIT Benchmarking System.

All offers made to CAUDIT Members are completely voluntary; CAUDIT is not able require members to take any particular action. Each University may independently assess offers made to the sector.

The CAUDIT Procurement Governance Structure provides a framework for establishing priorities based upon the current Strategic Plan, Top 10 Issues and the CAUDIT Annual Procurement Survey.

Guidance is provided to the Director Strategic Procurement via the Strategic Procurement Advisory Committee; process, policy and probity are balanced by the Strategic Procurement Governance Committee.

The model is driven by member demand; taking into consideration the volume purchased across the sector, and the strategic importance of products that are provided.

CAUDIT manages two key sector programs: 

• CAUDIT Managers Program (CMP) 
• CAUDIT Leadership Institute (CLI) 

Both of these programs are sector specific and designed to empower IT staff to effectively lead teams and themselves, and to demonstrate effective qualities, traits and attributes expected of today’s leaders.   Each program has one intake per year.

The CAUDIT Managers Program has been developed specifically for new and existing middle managers and team leaders in information technology, library and eResearch and runs over a period of approximately seven months with a combination of group and individual coaching sessions.  The Program has a focus on managing oneself and others.  Find out more here

The CAUDIT Leadership Institute has been developed for experienced managers from information technology, library and eResearch within higher education who aspire to more senior leadership positions, and who have had several years of management experience. The Institute has a focus of managing up, strategy and teams.  Find out more here

Need help joining a meeting?

CAUDIT hosts a number of webinars and meetings using Zoom. It is recommended that you verify/download the Zoom software prior to the meeting (it should only take a few minutes).

If you are having trouble joining a meeting, try the following:

• Join the meeting from the e-mail invitation. Click the link in the e-mail to join the meeting. This will launch the meeting information page; click the "join" button. If you see the message "Waiting for the host to start the meeting," the meeting has not started.
• You can find the meeting number in your e-mail invitation/calendar invite. The meeting number should be a 9 digit number. Please contact your meeting host to confirm the meeting number if you are having issues.

Make sure that you are not joining too early and pay special attention to the time-zone differences.

For further assistance: 

• Verify that you meet the minimum system requirements. 
• Join a test meeting to confirm that you're able to successfully join a meeting.

The process to become a CAUDIT Showcase Partner is as follows:

8-10 weeks out 

• Get in touch with the Partner Program for available Showcase dates
• Complete the online Booking Form

6-7 weeks out

• Agree to the Partner Program Terms and Conditions, preview a copy here
• Make payment - payment must be completed prior to receiving the benefits listed under the Showcase Partner offering

4 weeks out

• Prepare your presentation, slides, speakers, and demos - CAUDIT provides an online document where we can collaborate on any further information we need to setup your Showcase and Marketing assets, outside of the information you have supplied on your Booking Form.
• CAUDIT Marketing commences

Allocations are limited to 15-20 Showcase Partners per year. 

A Booking Form must be completed to be considered into the Partner Program.

CAUDIT uses Zoom Webinar for Showcases.

There are a limited amount of Showcases held each year.
Generally, Showcases will be held on either a Tuesday (Cybersecurity vendors) or Thursday at 1pm-2pm AEST. Bookings are recommended at least 8-10 weeks in advance. 

Showcases are not held in January or December, or when CAUDIT Main Events are running.

Please get in touch with the Partner Program for available dates.

Attendance at Showcases is voluntary, and CAUDIT cannot guarantee attendee numbers, however, CAUDIT promotes your Showcase to the appropriate CAUDIT Communities of Practice's that your Showcase aligns to, to maximise your attendance.

Currently we are seeing 40 - 80 attendees, with an average of 35 organisations at each Showcase.

Your Showcase Event Page will include the details you provide in your booking form including:

• Your Company introduction
• Your Showcase title
• Your Showcase summary
• Your Showcase presenters
• Your Company logo
• Your Company contact details

Plus (optional)

• An introductory video to your Showcase or company - up to 2 mins
• Links to published case studies
• Link to a CAUDIT Member Offer (when organised with the CAUDIT Procurement team)

• 15 mins prior to your Showcase starting time, all presenters and the CAUDIT Host will meet to prepare for the opening of your Showcase
• The CAUDIT Host will start the Showcase and welcome the audience, attend to Showcase Housekeeping, Introductions to your company and presenters
• The Showcase Partner will present their slides and any demos for approximately 40-45 mins
• The CAUDIT host will help to facilitate the Q&A session, approximately 10-15 mins
• The CAUDIT host will close the session
• All presenters and the CAUDIT Host can meet online afterwards for a debrief (optional)

CAUDIT respects the privacy of CAUDIT Members and therefore we will provide an anonymous list which includes the organisations that have attended, and the number of attendees from each organisation. 

We also provide an option for the attendees to opt-in to have their contact details shared with you. For the attendees that opt-in, we will provide you with their name, organisation, title (if supplied) and email.

Attendees that have opted-in to share their contact details with you during the Showcase, expect to receive direct contact from you regarding specific Showcase information only. They are not providing authority to you to subscribe them to any marketing lists you may have.

CAUDIT will provide you with a link the the recording. You are welcome to use the recording internally only and in your comms to CAUDIT Members, however, not for publishing, either on websites or on social platforms, or sharing externally. We keep the recording on the CAUDIT website resources for Members to access, and a login in is required.

As Showcases are designed for CAUDIT Member audiences, we consider that details/experiences from Members/universities are sometimes shared and in confidence, and we request that discretion is used by all Partners.

After your Showcase, CAUDIT provides a notification to Members that your Showcase recording and slides are available on the CAUDIT website - requires login.

We suggest that you work with CAUDIT to use the chat function during your Showcase to share links to more information. You are also able to provide documents to CAUDIT that can be included with your recording and slides, on the CAUDIT website, for Members to access at any time during your partnership.

Attendees that have opted in to share their contact details with you during the Showcase, expect to receive direct contact from you regarding specific Showcase information only. They are not providing authority to you to subscribe them to any marketing lists you may have.

1. Ensure there is plenty of lead time from booking your Showcase date, supplier onboarding processes and payments, to preparing your Showcase. CAUDIT recommends at least 8-10 weeks.
2. Make your Showcase topic is relative to the current priorities of CAUDIT Members. You can view the latest CAUDIT Top Ten here.
3. Ensure your Showcase is engaging with either a focus on Australian and New Zealand University case studies, customer fireside chats, new or improved products and services, and clear and precise demonstration videos.
4. Showcases should provide CAUDIT Members with the latest information about your products and services, without focusing on pricing or being technical.

You are welcome to use the CAUDIT Showcase Partner Logo throughout the duration of your partnership. How you might utilise the logo might be to include it in your signature block, in communications with CAUDIT Members, or display it on your company's website. 

If you intend it to include it in any marketing assets, please provide the Partner Program with a copy for review/approval, prior to publishing.
